For more than 20 years, employees at Precision Fitting and Gauge Company printed three copies of every piece of customer and vendor correspondence. Then an Activant Application Consultant asked them why.

"We didn't know why," says Mike Nelson, operations manager at the seven-location, Oklahoma-based instrumentation products distributor. "We sent customers two copies of every document, even though they didn't need them. And we kept one on file, even though we knew we could print anything from our solution at any time. It was just the way we did things for 20-something years."

And, when the consultant asked Nelson why he didn't fax customer invoices with his automated, integrated faxing solution, he admits that he just never thought to do so.

The Activant consultant taught Precision Fitting employees how to automatically fax invoices directly from their solution, saving the company about $1,000 each month in postage and paper and much more in labor costs, because employees do not stuff and stamp thousands of envelopes each month. Plus, the company saves an additional 20 hours a week, since no one files endless stacks of paper.

Nelson admits that had the consultant never questioned his staff, he might still be losing thousands of dollars each year. "Sometimes it just takes someone from the outside to just say 'Why the heck are you doing that?'" Nelson laughs. "Inviting that Activant consultant to our company was one of the most enlightening things we've ever done."

Savings Down the Line

Precision Fitting first invited an Activant Application Consultant onsite to help employees with a solution upgrade. When Nelson and other company leaders realized how valuable the consultant's services were, they decided to invite her back for a more focused examination of accounting processes.

Teri Horner, accounting supervisor, called the focused engagement an "awakening" experience. The consultant taught Horner how to utilize the inventory balance report, resulting in far fewer stock discrepancies. She also helped Horner learn how to better manage the company's multi-state sales taxes through the solution, and streamline month-end processes.

In addition to saving at least seven hours on end-of-month tasks, Horner says that the consultant's tactical and practical advice -- in addition to tips on how to best utilize the solution -- will save Precision Fitting at least four days on annual audits.

"That's at least $5,000 that goes directly to our bottom line," she says. "The auditors used to spend two weeks here just trying to track down problems. Now that we're processing everything more thoroughly and efficiently through our solution, they won't have to spend so much time here."

"Before the Activant consultant even left the first time, we realized that we were going to call her back," concludes Nelson. "Our whole objective is to save money, and she definitely helped us do that. She paid for herself several times over."
